OnBase - Re-Indexing to update HHID


Use the video attached and/or instructions below to re-index a document with an incorrect HHID. 


  1. Open the file for the HHID that needs to be updated & select the document.
  2. Choose one of two options to re-index:
    1. Right-click the document to
    2. From the ribbon choose Re-Index from the Action menu
  3. The Re-Index panel will open. 
  4. Click the Clear Keywords button ( "x" inside of a left facing arrow) to erase all current keywords.  This allows the user to type a new HHID, click tab or select the next field, and get all current keyword values for that HHID.  This ensures that values such as SSN, Resident Name, and other identifiers are exact matches to other existing documents for that HHID.
  5. When the Re-Index button is clicked, the Unity Indexer window appears. 
  6. Select the correct detailed description and click Submit.
  7. Since you are essentially moving the document to the correct file, you'll notice that the document no longer appears in the file you're working on and the number of documents should reduce by one document after each document is re-indexed.
